Notion AI integrates AI directly into the workspace where your team already manages documents, databases, projects, and knowledge. Unlike ChatGPT or Claude (which are separate tools you copy content into), Notion AI works inside your existing workspace — it knows your documents, can search across everything, and applies AI to your actual work without tab-switching. If your team runs on Notion, AI becomes part of every document, meeting note, and project.
Ask Notion AI any question and it searches your entire workspace — every page, database, meeting note, and document — to answer from your own content. 'What was the outcome of last quarter's product review?' 'What did we decide about the rebrand?' 'Find all the documents about Project Atlas.' No more digging through folders or searching page by page.
In any Notion page, press the spacebar to open the AI menu. Options include: Continue writing, Summarize, Fix spelling and grammar, Make shorter, Make longer, Change tone, Translate, Explain this. Every AI writing action operates in context — it reads what's already on the page before acting.
Paste or link your meeting transcript into Notion and use AI to generate: a 3-sentence executive summary, a decisions list, action items with owners and due dates, and open questions. Teams report saving 15-20 minutes per meeting on documentation. The output structure is consistent, so meeting records become more searchable over time.
Notion databases with an AI property can automatically generate content for every row. Add an AI field to your content database: 'Generate a 50-word summary of this article' or 'Extract the 3 main action items from this task description.' Every row gets AI-enriched data without manual work.
Notion AI Agents can perform multi-step actions inside your workspace: 'Find all pages tagged #Q2-planning, summarize the key themes across them, and create a new synthesis document.' This moves beyond Q&A into genuine automation — agents that do research and creation tasks on your behalf.
Notion AI integrates with Calendar (suggesting preparation time, flagging conflicts, summarizing daily agendas) and Projects (AI-generated project plans from a brief description, status updates drafted from task data, project health summaries). The AI knows your project structure and can report on it.
Go to notion.so → Sign up free (Google or email). The free plan includes unlimited pages, basic AI (limited responses/month), and 10 guests.
Verify AI is active: open any new page → press Space on a blank line. You should see an AI menu pop up with options like: Continue writing, Summarize, Translate, Fix grammar, Create action items. If you don't see this, go to Settings → Workspace → Notion AI → enable.
Business plan ($15/user/month) gives unlimited AI. If your team will use AI daily — meeting summaries, autofill, project planning — Business is necessary.
Press Cmd/Ctrl + N → name your page Product Launch — [Product Name].
Press Space → Draft with AI → type this brief:
Create a complete project planning workspace for a product launch. Include sections for: Project Overview (with a goals section and success metrics table), Timeline (with a 4-week milestone breakdown), Team Roles and Responsibilities (table format), Pre-Launch Checklist (30 items across marketing, product, and operations), Launch Day Runbook (hour-by-hour), and a Post-Launch Review template. Use callout blocks for important dates and risks.
Notion AI generates a fully structured 800-1,200 word project workspace in 15 seconds. Every section is editable — click any text to modify it.
This single workflow saves most teams 15-20 minutes per meeting. Create a new page: Meeting Notes — [Date].
Option A — Paste a transcript: Copy your Zoom, Teams, or Google Meet transcript → paste it into Notion → select all the text → Space → AI → Summarize meeting notes.
Option B — Quick bullet notes: During the meeting, type bullet points → after the meeting select all → Space → AI → Create action items.
After either option, use this follow-up prompt:
From these notes, extract and format: 1) Executive summary in one paragraph. 2) Decision log with each decision and the reasoning behind it. 3) Action items table: OWNER — TASK — DEADLINE — PRIORITY. 4) Open questions that still need resolution. Use Notion table format for the action items.
Go to any Notion database → click + Add property → AI Autofill.
In the AI Autofill configuration panel, write what you want AI to generate for each row. For a content database, add these three AI properties:
1. AI Summary: Summarize this content brief in 60 words for team reference. Include the main topic, target audience, and key message.
2. AI Keywords: Extract the 5 most important SEO keywords from this content description. One per line. No explanations.
3. AI Readiness: Based on this content brief, is it ready to write? Answer with exactly one word: Ready, Incomplete, or Unclear. If Incomplete, add a parenthetical with what is missing.
Click Fill all to populate every existing row. New rows auto-populate when created.
Press Cmd/Ctrl + K to open universal search. Switch from keyword search to AI search by clicking Ask AI or typing a question instead of keywords:
What decisions did we make about the pricing model last quarter?
Find all pages related to user research from Q1 2026.
What action items from the last 5 meetings are still incomplete?
Notion AI searches every page in your workspace — not by keyword but by semantic meaning. It synthesizes information from multiple pages into a single structured answer.
You can also AI-filter any database: open a database view → click Filter → AI filter → describe in plain English: Show tasks related to the mobile app that were created this month and are not yet completed.
Templates standardize how your team works. Build a Meeting Notes template with built-in AI:
Create a new page inside a database → set it as a template (⋯ → Create template).
Inside the template, add these blocks in order:
• Date property (auto-fills today's date)
• Attendees property (relation to your People database)
• Agenda text block: [Paste agenda items here before the meeting]
• Notes text block: [Take bullet notes during the meeting]
• AI block (type /AI) configured with: After the meeting, generate: 3-sentence summary, decisions table, action items table (owner, task, deadline), open questions list.
Save the template. Now the entire team creates consistent, AI-enhanced meeting notes in one click. The AI block runs automatically when someone creates a new meeting note.
